Bookkeeping in Warsaw

How taxes and accounting work in Warsaw: when you need an accountant, how much ongoing support costs and how to optimise taxes legally.

When you need an accountant (księgowy) in Warsaw

Poland is a convenient base for IT professionals and small businesses from the CIS region, and the choice of tax regime has a significant impact on your tax burden. An accountant (księgowy) is needed for: registering a JDG/sp. z o.o., choosing a regime, VAT and ZUS.

Price reference: bookkeeping for a JDG — 300–800 zł/mo, sp. z o.o. — from 800 zł/mo. Initial consultation with SVOY accountants — free.

What matters specifically for Russian speakers from the CIS

  • Ryczałt — the advantageous regime for IT professionals. The flat-rate tax on turnover (ryczałt) is often 12% or 8.5% for IT and services — more favourable than the standard progressive scale for many remote workers. An accountant will select the right rate based on your activity code (PKD).
  • ZUS. Social contributions are mandatory, but there are concessions for new sole traders (ulga na start, preferencyjny ZUS).
  • Income from clients in Russia — legally structured; USDT and international transfers.
  • CIS documents. Apostille and sworn translation — remotely.

Taxes and business structures

  • JDG (sole proprietorship) — a simple way to start; sp. z o.o. — a company (CIT 9% for small businesses / 19%);
  • regimes for sole traders: standard scale (12/32%), flat 19%, or ryczałt;
  • VAT 23% (exemption threshold: 200,000 zł).

How to choose

  • hire an accountant who can choose the right tax regime (ryczałt vs. linear tax) for your profile;
  • check for ZUS concessions;
  • a Russian-speaking specialist will reduce the risk of errors.
