Transfers and parcels in Warsaw

Transfers and courier deliveries in Warsaw: how to send important items through fellow community members — documents, medicines, small parcels.

How parcel deliveries and handoffs work in Warsaw

Warsaw is one of the main transit hubs for Russian-speaking people in Europe. Since 2022 one of the continent’s largest diasporas has formed here, and with it an informal but fully functional infrastructure: passing documents, parcels, and personal belongings via trusted carriers, courier routes to Minsk, Vilnius, Kyiv, and Berlin. If you need to send documents to Warsaw or receive a package from abroad, there are several working channels here — each with its own terms, speed, and risks.

Courier delivery in Warsaw: how it works in practice

Hand-carry — passing items or documents through a fellow traveler heading in the right direction. In Warsaw this channel is particularly well developed, thanks to the constant flow of people between Poland, Belarus, Ukraine, and the Baltic states.

The logic is simple: someone travels from Warsaw to Minsk or Vilnius and takes along an envelope, a small bag, or some medication. The recipient meets them at the point of arrival. No customs declarations, no delivery deadlines — if you have agreed on it, the parcel goes on the next available flight.

Main hand-delivery routes from Warsaw:

  • Minsk — direct buses, including Ecolines and Lux Express, with a journey time of around 6–8 hours
  • Vilnius — bus, around 4–5 hours, one of the most frequent routes
  • **Kyiv — bus service has been restored, journey time 10–14 hours
  • Berlin, Warsaw–Prague — via the western route, less common

The SVOY Warsaw community is one of the most active hubs in the network for informal courier requests. The chat is where ’I’m travelling’, ’looking for a travel companion’, and ’I can pass on an envelope’ posts appear — and where a reputation layer forms, showing who can be trusted and who has already made a delivery.

Sending documents in Warsaw: what you need to know

Sending documents is the most common request: passports, notarized papers, medical records, powers of attorney. There are some important nuances here.

Via ocasion — fast and cheap, but the risk of loss or delay falls on you. No tracking, no confirmation. If the document is important and losing it would be critical, an ocasion is not suitable as the only channel without a backup copy.

Via courier services — DHL, FedEx, and DPD operate from Warsaw to most countries. Restrictions:

  • DHL and FedEx deliveries to Belarus have effectively been suspended or significantly restricted
  • Most international couriers do not deliver to Russia
  • Deliveries to Ukraine are handled through Nova Poshta (with drop-off points in Warsaw) and some Polish operators

Nova Poshta in Warsaw is one of the go-to practical options for sending things to Ukraine. Branches are located at several points across the city; a parcel to Ukraine takes 3–7 days, and the cost depends on weight and size.

Common mistakes

  1. Sending original documents with an unknown person without agreeing on delivery confirmation. Always arrange for the recipient to message you the moment the handover is complete.

  2. Not checking customs restrictions. Medications, food, and cash all have import and export limits. Polish customs officers at the border are thorough.

  3. Counting on DHL or FedEx for deliveries to Belarus or Russia. Most international carriers either don’t serve these destinations at all or operate under very significant restrictions and delays.

  4. Not scanning a document before sending it. If the parcel gets lost, recovering a notarised document from another country takes weeks. A scan at least gives you a legal footing.

  5. Confusing Nova Poshta with the Polish postal service. They operate at different locations and follow different logic. Nova Poshta in Warsaw has its own dedicated drop-off points that need to be looked up in advance — the nearest branch is not always conveniently located.

  6. Handing parcels to anonymous people from group chats without checking their reputation. The SVOY Warsaw community has a member activity history — use it. Ask for recommendations from people who have already sent parcels with that person.

What to choose depending on your situation

For urgent documents to Kyiv — Nova Poshta, with tracking and insurance. For personal items to Minsk or Vilnius — a community courier if you or the recipient already know the person. For official shipments within Europe — DHL or DPD with tracking and delivery confirmation.

Warsaw is a well-organised hub — but precisely because so many people and flows pass through it, there is also more confusion and loss for those who act without a plan.
